A digital signature is a mathematical scheme for verifying the authenticity of digital messages or documents. A valid digital signature gives a recipient reason to believe that the message was created by a known sender (authentication), that the sender cannot deny having sent the message (non-repudiation), and that the message was not altered in transit (integrity).
Digital Signature Certificates (DSC) are the digital equivalent (that is electronic format) of physical or paper certificates. Few Examples of physical certificates are drivers' licenses, passports or membership cards. Certificates serve as proof of identity of an individual for a certain purpose; for example, a driver's license identifies someone who can legally drive in a particular country. Likewise, a digital certificate can be presented electronically to prove one’s identity, to access information or services on the Internet or to sign certain documents digitally.
The Information Technology Act, 2000 has provisions for use of Digital Signatures on the documents submitted in electronic form in order to ensure the security and authenticity of the documents/ reports filed electronically. This is a secure and authentic way to submit a document electronically. As such, all filings done by the companies/LLPs under MCA21 e-Governance programme are required to be registered using Digital Signatures by the person authorized to sign the documents.
You can use only the valid Digital Signatures issued to you. It is illegal to use others Digital Signatures for any purposes.
The DSCs are typically issued with one year validity and two year validity. These are renewable on expiry of the period of initial issue.

Digital Signature Certificate (DSC) Usage In MCA

Documents Required

DSCs may take as long as four hours or May Take a Weak to process completely .There Are Two Method for Applying DSC
Method 1 (Using Traditional Method)
  • Application form duly filled in by the applicant
  • Self-attested copy of PAN card (in case of resident applicant)
  • Self-attested copy of address proof (in case of resident applicant)
  • Notarized copy of passport (in case of non-resident applicant)
  • Notarized copy of address Proof (in case of non-resident applicant)
  • This May Take A Weak To Complete (Is Cheaper)
    Method 2 (Using E-sign i.e. Aadhaar OTP
  • Application form duly filled in by the applicant
  • Aaddhar OTP
  • This may take max 4 Hour to Complete ( Bit Expensive )

    Once completed by the certification agent, DSCs may be available in two modes:
  • External device in the form of an E-token: This looks like a pen drive that is inserted into the computer every time one needs to sign a document.
  • Internal device in the form of an attachment sent through a mail: This needs to be installed in the computer and requires a password to operate.

    Certificates serve as proof of identity of an individual or organization for a certain purpose on online / computer. Digital Signature Certificate (DSC) Certificate can be presented electronically to prove your identity, to access information or services on the Internet or to sign certain documents digitally manually.

    Digital Signature Certificate can be used to access secured zones of web sites where member login is required, surpassing the requirement of entering the user name and password. It insures by means of verification and validation that the user is whom he/she claims to be. This is done by combining the users credential to the digital certificate and in turn this method uses one point of authentication. Digital certificates ensure confidentiality and ensure that messages can only be read by authorized intended recipients. Digital certificates also verify date and time so that senders or recipients can not dispute if the message was actually sent or received.

    Who Requires DSC

    Under MCA21 all the authorized signatories of company and professionals who sign the manual documents and returns filed with ROC is required to obtain a Digital Signature Certificate (DSC). Therefore following personnel have to procure Digital Signature Certificate:
  • CA’s/Auditors- To file compliances.
  • Directors - To file contracts online
  • Company Secretary - To file company's compliances.
  • Bank Officials - for Registration and Satisfaction of Charges.
  • Advocates - To e-file Cases in respective courts or tribunals.
  • If in case you are using Digital Certificate issued post 1st January 2012 (SHA2 Certificate ), please ensure that you have Windows XP ( SP3 )/ Windows Vista/Windows 7 installed.

    Classes of DSC issued

    A licensed certifying authority (CA) issues the digital signature. CA means a person who has been granted a license to issue a digital signature certificate under Section 24 of the Information Technology Act, 2000. The time taken by CAs to issue a DSC may vary up to a week.
    Class I DSCs-validates the email address of user. These can be used by employers while communicating with employees via email. Class I certificates shall be issued to individuals/private subscribers. These certificates will confirm that user’s name (or alias) and email address form an unambiguous subject within the certifying authorities’ database. Class II DSC-is issued wherein the identity of a person is verified against a trusted, pre-verified database.These are applicable in e-filing of income tax returns & sales tax returns, etc. Class III DSC-is issued directly by the certifying authority and indicates a higher level of authenticity as the person needs to present himself or herself in front of a registration authority (RA) and prove his/ her identity. These can be used to participate in e-tendering or e-auctions organised by governments or public sector companies.
    The fees typically vary from provider to provider, and can be issued with a one or two year validity.

    Types of DSC

  • Sign - The DSC could only be used for Signing a document. (The most popular Certificate) The most popular usage is signing the PDF file for Tax Returns, MCA and other websites.
  • Encrypt - The DSC would be used to Encrypt a document, it is popularly used in tender portal, to help your company encrypt the documents and upload. You could also use the certificate to encrypt and send classified information. We are selling Encrypt certificate as a standalone product as well.
